NEW V2.9 The promoter/producer model is the ability for a promoter to set-up and sell his own products in SecuTix. The development of this feature has started in Gabelhorn V1 and will continue in Allalin. In Allalin V2, several improvements are delivered concerning the product set-up and the ability for promoters to perform after sales activities at the box-office in a more secure way.

Promoter/producer set-up

The organisation needs to keep the entire control on its web site. To achieve this, the promoter isn't allowed to set-up or modify some product information that may have an important impact on the layout of the sales portal. More precisely:

  • Operators working for promoters don't have the right to assign an artist to their products. Artist assignment is always performed by the organisation.
  • Operators working for promoters don't have the right to upload pictures for their products and performances. Product pictures (not to be confused with ticket logos) are always managed by the organisation.
  • Operators working for promoters don't have the right to assign topics to their products. Topic assignment is performed by the organisation in one of the following ways:
    • EXISTING The organisation assigns directly topics to products
    • NEW The organisation assigns topics to Tours. When creating a product belonging to one (or several) Tour(s) and saving it the first time, the product will inherit the topics from the tour(s) it belongs to. The organisation may modify later the topics assigned to that product. When adding/removing topics from a Tour, the list of topics assigned to an already existing product belonging to that Tour won't be updated automatically.

Promoter/producer sales and after sales

Filtering on files

A promoter/producer may perform after sales activities in the box office module. For example if he's responsible for the last minute sales or evening sales, he may reprint or duplicate tickets or change the tariff in case the purchaser did some mistake. In order to ensure a better data protection during the sales or after sales process, the promoter/producer may only see the files containing products he's responsible of or tickets concerning a product he's responsible of.

More precisely, this filtering concerns following screens:

  • Sales context > Sales > File list
  • Sales context > Sales > Ticket list

Evening and on site sales

A promoter/producer may also perform new sales besides of after sales activities. However, for the time being, a dedicated sales channel has to be created for each promoter/producer to ensure that he can only sell his own products. An automatic filtering of products will be implemented in a further release.

Filtering on contacts

A promoter/producer can only view contacts who have bought at least one of his products or who have been directly created by that promoter/producer, More precisely, this filtering of contacts is enabled in following screens:

  • List of contacts in the organization context
  • Sales cart/Exchange cart (all fields allowing to search for a contact and select it as purchase contact, cultural contact, etc.)
  • File details (all actions allowing to add or change a contact)
  • Attendance per performance (check if a given contact has attended a given performance)
  • File list (select a contact as a file search criterion)
  • Ticket list (select a contact as a ticket search criterion)

Special contacts

SecuTix allows you to manage "special" contacts who don't buy any ticket (for example: artists to assign to an event, guides to assign to a visit time slot, etc). Following rules apply to such contacts:

  • Artists: No filtering (but the access to the Artists menu may be forbidden if needed)
  • Guides: The promoter may only see the guides he has created
  • Partners: No filtering (but the access to the Partners menu may be forbidden if needed)
  • Producers: No filtering (but the access to the Producers menu may be forbidden if needed)
  • Suppliers: No filtering (but the access to the Suppliers menu may be forbidden if needed)

Getting started

  • The promoter/producer model page explains you how to create operators assigned to a promoter.
  • Once an operator has been assigned to a promoter, above access right restrictions concerning the set-up and the filtering on files will be applied automatically.
  • If you assign operators to promoters and want to allow them to access the list of contacts, you must schedule the batch called "Promoter contact connection" so that it runs quite frequently, as shown below:

Indeed, only the files created or updated before the last run of this batch will be taken into account to determine whether a promoter may access to a given contact or not. In other words, if the batch hasn't been scheduled, operators working for a promoter won't see any contact at all.

You can at each moment grant to a given promoter the access to a specific contact by entering a link between the promoter and the contact
