Pre-requisite: have reservations or options
Aim:
this screen allows you to send a reminder to contacts whose reservations or options are going to expire or, if necessary, release them in bulk.

General

Several filters are available in order to search for the desired orders. 

The mandatory filters are the following: 

  • Follow-up: choice of one type of order, between reservation/booking and option
  • Deadline for confirmation: all reservation/option orders expiring on or before this date are displayed.
    For example, if you want to send a reminder to all the contacts whose reservation will expire in 5 days, just select the date D+5 // Or, if you want to release all the reservations that have expired in 7 days, select the date D-7.
  • Season and Product family (you need to pick one)
  • Contact types: predefined as "All"

Additional filters are available, by product, contingent, seat category, tariffs, etc.

Once you have selected the filters, click on SEARCH to find the corresponding orders.


Follow up actions and buttons

Once the research is launched you will get up to 100 results. Refine the filters in case the system announces that not all elements could be displayed.

Send a reminder to your contacts

From the displayed order lines, select the ones for which you want to send a reminder using

  • the check boxes on each line
    or
  • the main checkbox on the column header → please note that this will impact all orders, even those that are not displayed in the screen.

The reminder email will use standard documents. They can be customized like other documents via the Institution > Initialization > Document Types
The related class are "Options/bookings reminder" and "Reservation reminder". See more about Document types

Release options/reservations

Among the displayed orders, select the ones you want to release ticking the single check boxes and click on LAUNCH THE RELEASE.

The button LAUNCH THE RELEASE FOR ALL allows releasing all the orders that satisfy the search filters, even those that are not displayed in the screen.

Block/unblock orders

The Block/Unblock buttons are used to lock an option or reservation to prevent an operator from releasing it.
Locked orders cannot be released until they are explicitly unlocked by an operator. This lock remains active on the order until it has been unblocked.

From File details it is also possible to Block/Unblock a reservation/option.
