Cancel membership subscriptions

RELEASED IN V2.1 Selling membership subscriptions that may be cancelled before the end of their validity? A partial refund of the membership’s value can now be done based on the remaining validity.

Solution

Memberships with a validity running for an entire season may have to be partially refunded for compliance reasons. Operators can set a new validity end date to a membership in order to trigger the refund of the remaining value. The membership itself is not cancelled as it has been used for a certain period and may remain valid until the new end validity date, but an accounting product is created to refund the remaining value on a pro-rata basis.

Getting started

To allow cancelling membership subscriptions, an accounting product needs to be configured in the system to capture the partial amount to be refunded.

Accounting product configuration

For the accounting product, an open product with code SUBS_END needs to be configured for the current season. It must contain one item with the same SUBS_END code and some default price configured in only one tariff.

Cancellation process

In the file detail screen, select the memberships to be cancelled, then open the “Other functions” action menu and click on “Cancel subscription”.

In the “Cancel subscription” pop-up, enter the “Cancellation date” and “Refund amount rounding”, then click OK.

The system redirects you to the exchange/cancellation screen and automatically adds the item with the corresponding refund amount to the exchange cart. The amount is computed on a pro rata basis according to the new cancellation date. The cancellation item's description combines the name defined in the configuration of the open product and the membership number.

Once you validate the refund order, the membership subscription will remain valid up until the newly provided end date.
